Centrex Voice Mail

The typical base service will route calls into private "mail boxes" when an individual is unavailable, including options such as automated attendant, menus, group messaging and pager notification are available. CenturyLink calls their subscription voice mail service MessageLine. Like Centrex the hardware and software reside in the CenturyLink Central Office - so many of the same benefits apply. The Centrex line / MessageLine ratio is usually 1 to 1.

Helpful Hints:

  1. Passcodes should be kept confidential.
  2. Your Centigram Voice Mailbox can store a maximum of 20 messages.
  3. Each message can be up to three minutes long.
  4. Voice mail messages will be deleted after 10 working days.
  5. Each Centigram Voice Mail user can establish 10
  6. Distribution lists. Each Distribution list may contain up to 25 mailboxes.

Accessing Your Voice Mailbox

From Your Own Telephone

Dial the Voice Mail Access Number for your area.
Enter your Passcode when prompted.

From Any other Telephone

Dial your Voice Mail Access Number with area code if out of area. (if you hear another user's name, enter *)
Enter your seven or ten digit mailbox number and press *.
Enter your Passcode when prompted.

When you access your Messageline Voice Mailbox for the first time, a user tutorial is automatically played. The tutorial will guide you through your first mailbox session. You can review the tutorial at anytime by dialing "T" for Tutorial (the 8 key) from within the User Options menu.

The steps listed below assume you are calling from your own office telephone. If calling from a telephone other than your own office, follow the steps for Accessing Your Voice Mailbox and then use the steps below.

  1. Dial the Messageline Voice Mail Access Number.
  2. Dial your passcode.(initially this will be the 7 digit telephone number)
  3. You will be prompted to record your greeting. Callers will hear this greeting when you are away from your desk or when you are on the phone.
  4. You will then be prompted to record your name so that the system can: address you when you call into the system, inform other users when a message comes from you, and state your name to other users when they address messages to your mailbox.

This is ________ with the Department of ________________. Today is ________ and I'm either on my phone or away from my desk right now. Please leave your name and telephone number after the tone, and I will call you back as soon as possible but no later than 4 hours after you've called. If you need immediate assistance, please dial 0 now. Thank you.

This is ________ with the Department of ___________________. Today is ________ and I'm sorry I am not able to take your call. Please leave your name, telephone number, and a brief message after the tone or page me on _____. Thank you.

Changing Greetings

When calling from your own office telephone use the steps below . If calling from a telephone other than your own, follow the steps for Accessing Your Voice Mailbox and then use the steps below.

  1. Dial the Voice Mail Access Number.
  2. Dial your passcode.
  3. Press U (8) for User Options.
  4. Press G (4) to record Personal Greetings.
  5. Press R (7) to begin recording and # to stop recording.
  6. Press X (9) to Save greeting, or press D (3) to Discard and Re-Record.
  7. Press X (9) to Exit.

Re-recording your Name

When calling from your own office telephone use the steps below . If calling from a telephone other than your own, follow the steps for Accessing Your Voice Mailbox and then use the steps below.

  1. Dial the Voice Mail Access Number.
  2. Dial your passcode.
  3. Press U (8) for User Options.
  4. Press N (6) to record Name.
  5. Press R (7) to begin recording and # to stop recording.
  6. Press X (9) to Save greeting, or press D (3) to Discard and Re-Record.
  7. Press X (9) to Exit.

Making a Message

When calling from your own office telephone use the steps below . If calling from a telephone other than your own, follow the steps for Accessing Your Voice Mailbox and then use the steps below.

  1. Dial the Voice Mail Access Number.
  2. Dial your Passcode.
  3. Press M (6) to Make a message.
  4. Enter the seven-digit mailbox number when prompted to enter a mailbox number.
  5. Press # to indicate the last address, then record your message.
  6. Press # to stop recording.
  7. Press X (9) to Send, or press M (6) to access Message Addressing Options where you can request:
    U (8) Mark Urgent
    C (2) Confidential
    R (7) Request Return Receipt
    F (3) Future Delivery.
  8. Press X (9) to Exit the Message Addressing options.
  9. Press X (9) to Exit the Main Menu.
  10. Press X (9) to Exit the system.

Playing a Message

When you access your mailbox to retrieve your messages, the system will first tell you how many messages you have ("You have 2 urgent messages and 4 new messages")

When calling from your own office telephone use the steps below . If calling from a telephone other than your own, follow the steps for Accessing Your Voice Mailbox and then use the steps below

  1. Dial the Voice Mail Access Number.
  2. Dial your Passcode.
  3. Press P (7) to play your message. If you have urgent Messages, they will play first.
  4. Listen to the message.
  5. At the end of the message, you can press:
    A (2) to Answer the message
    K (5) to Keep the message
    D (3) to Discard the message
    G (4) to Give the message to another user
    P (7) to Play the message again.
  6. At any time during message playback you can press
  7. 1 to pause for 30 seconds

    * to move back 5 seconds

    # to move forward 5 seconds

    8 to skip to the next message

    8* to go back to the beginning of your previous message

  8. Press X (9) to Exit.

Answering a Message

When calling from your own office telephone use the steps below . If calling from a telephone other than your own, follow the steps for Accessing Your Voice Mailbox and then use the steps below.

  1. Dial the Messageline Voice Mail system.
  2. Dial your Passcode.
  3. Press P (7) to Play message.
  4. Press A (2) to Answer a message.
  5. Record your reply.
  6. Press # to stop recording.
  7. Press X (9) to Send.
  8. Press K (5) to Keep original message or D (3) to Discard.
  9. Press X (9) to Exit.

Giving a Message

When calling from your own office telephone use the steps below . If calling from a telephone other than your own, follow the steps for Accessing Your Voice Mailbox and then use the steps below.

  1. Dial the Voice Mail Access Number.
  2. Dial your Passcode.
  3. Press P (7) to Play message.
  4. Press G (4) to Give the message to another mailbox.
  5. When prompted to enter a mailbox, enter the mailbox number where you want the message to go.
  6. You may Record your comments which will come before the message.
  7. Press # to stop recording.
  8. Press X (9) to Send.
  9. Press * to give the messages to additional mailboxes, or Press X (9) to Exit.

Discarding and Retreiving a Message

When calling from your own office telephone use the steps below . If calling from a telephone other than your own, follow the steps for Accessing Your Voice Mailbox and then use the steps below.

  1. Dial the Voice Mail Access Number.
  2. Dial your Passcode.
  3. Press P (7) to Play the message.
  4. Press D (3) to Discard the message.
  5. Retreive the message by pressing *.
  6. Press # to Forward 5 seconds.
  7. Press K (5) to Keep message.
  8. Press X (9) to Exit.

Creating a Distribution List

When calling from your own office telephone use the steps below . If calling from a telephone other than your own, follow the steps for Accessing Your Voice Mailbox and then use the steps below.

  1. Dial the Voice Mail Access Number.
  2. Dial your Passcode.
  3. Press U (8) for User Options.
  4. Press L (5) to Create or Modify a Distribution List.
  5. Enter Distribution List Number (1-10) that you wish to create or modify.
  6. Press N (6) to record a Name for the current Distribution List.
  7. Press X (9) to Save recording.
  8. Press A (2) to Add the mailbox users to your Distribution list. (Up to 25)
  9. Press R (7) to Review the members in the list.
  10. Press X (9) to Exit.

Scheduling Paging

When calling from your own office telephone use the steps below . If calling from a telephone other than your own, follow the steps for Accessing Your Voice Mailbox and then use the steps below.

  1. Dial the Voice Mail Access Number.
  2. Dial your Passcode.
  3. Press U (8) for User Options.
  4. Press C (2) for Call Schedule Options.
  5. Press P (7) to Schedule Paging.
  6. Press R (7) to Review the Paging Schedule.
  7. Press T (7) for the Time Schedule.
  8. Press C (2) to Change the Start/Stop Time.
  9. Press X (9) to Save and Exit.
  10. Press R (7) to Review the Paging Schedule.
  11. Press E (3) to Enable or D (3) to Disable the Paging Schedule.
  12. Press X (9) three times to Exit the system.

Making a Message For Future Delivery

When calling from your own office telephone use the steps below . If calling from a telephone other than your own, follow the steps for Accessing Your Voice Mailbox and then use the steps below.

  1. Dial the Voice Mail Access Number.
  2. Dial your Passcode.
  3. Press M (6) to Make a message.
  4. Enter your own seven-digit mailbox number when prompted to enter a mailbox number.
  5. Press # to indicate the last address, then record your message.
  6. Press # to stop recording.
  7. Press M (6) for Message addressing options.
  8. Press F (3) for Future delivery of message and follow prompts.
  9. Press X (9) to Exit the Message Addressing options.
  10. Press X (9) to send the message and Exit to the Main Menu.
  11. Press X (9) to Exit the system.
